Frequently Asked Questions
Your mission trip cost includes your international airfare. Also included in the mission trip cost are such things as: Medical Travel Insurance, Accommodations, Meals, In-country Transportation, Ministry Materials.
Immunizations, laundry fees and spending money.
Please carry a small amount of US cash on you (around $20) for unexpected expenses on route.
If additional funds are raised, these dollars can be used for reimbursing items needed for the trip or will be used by AIA Soccer as seen fit by the International Tours Director.
There is no right amount of spending money to bring. You will be asked to refrain from excessive leisure shopping during the trip. Remember, our purpose in traveling is not for a shopping spree, but rather, to gain a greater vision for the country and to minister to the needs of the nationals. Our spending must reflect our objectives.
On average participants normally bring around $100 USD with them (US currency is preferred over Canadian dollars as it is easier to convert internationally). This will allow for special offerings, souvenirs, gifts for supporters and other incidentals. Decide in advance how much you can afford to spend and plan accordingly.
General Donation Questions
The PAT dashboard is the ‘Go To’ place for your total. Log on to the Project Application Tool go to your dashboard and click the heading ‘Donations Received’ and you will see what donations have been processed by Headquarters. DO NOT add your online and PAT totals together.
Please allow for sufficient mailing and processing time before you contact the Project Services Office. If you are inquiring about an apparently missing donation, email projects@p2c.com with:
- Full name of the donor
- Amount of donation and currency
- Type of donation (online/cheque)
- Date when it was sent (if mailed, courier company and tracking number)
Donation acknowledgements are sent upon processing and Tax receipts will be sent in February of the following calendar year.
If a donor specifically tells you that they do not wish to receive mail then you should indicate that beside their name on the Record of Funds form. Only indicate ‘no mail’, ‘no phone’ or ‘no email’ for those donors who bring up the issue; Do not assume that people do not want to receive mail.
Call/Email your Mission Trip Director and Project Services immediately. You and/or your supporters cannot be reimbursed if you withdraw from the trip because donation money is trip specific not participant specific. If you withdraw you may be responsible for airline tickets or housing charges if these have been purchased.
Online and Credit Card Questions
Send your donors the url for the new personal online donation page you just created. All donations made on this page will be automatically connected to you.
Do not record online donations on a record of funds form or add them to your PAT total.
American donors can also give online by clicking on the small US flag.
We prefer that donors use your personal page. If the donor is strongly desiring to use their credit card but unwilling to do so online, then they may call 1-855-722-4483. They will need your full name and your mission trip so that the donation is connected to you. Do not record their names on a record of funds form.
A donor can use a VISA debit card but must call 1.855.722.4483 to have the donation manually processed.
No. Go Fund Me, takes a cut of the donations for themselves and does not provide tax receipts for donors. It is not connected with Power to Change or Athletes in Action in any way. So if you were to use Go Fund Me you would still need to send the money into Project Services and there would be another administration fee. There is no need for you to use an outside organization such as Go Fund Me since you can set up your own personal giving page through Power to Change.
Cheques and Cash Questions
The donor sends a cheque payable to Power to Change directly to you. You record it on a Record of Funds form (this ensures that it is credited to your file). See Record of Funds Instructions for directions on filling out the form.
Record of Funds forms and cheques should be sent to:
Project Services, Power to Change 20385 64th Avenue, Langley, BC V2Y 1N5
Do not send cash through the mail. Record the donor and amount on a Record of Funds form. Deposit the cash in your bank account and purchase a money order for the total amount of cash (not one for each person). Use a separate Record of Funds form page for cash and cheque donations
If the cheque is written to you return it to the donor and request that they make it payable to Power to Change.
If you do not write the donor’s name on a Record of Funds form the donation will not be processed properly. It is essential for you to have complete addresses with postal codes. Full names and titles are required (initials will not do).
The business will receive the tax receipt not the person who gave you the cheque.
If a donor insists in sending a cheque directly to Power to Change, then it should be mailed to Project Services. It is very important that they write your name AND the name of the mission trip on a note attached. Please do not record cheques that have not passed thru your hands on a record of funds form.
International and American Donation Questions
American Checks
American donors must make their checks payable to Power to Change. They should send their donations to YOU, to record on a Record of Funds form. If you receive American cash from an American donor, obtain a US Dollar money order from your bank to submit the funds to headquarters. Please use a separate Record of Funds page for American support. American donors will receive U.S. tax receipts
Checks made out to anything but Power to Change will be sent back to you to get a new check from the donor. AIA is part of Campus Crusade for Christ, which is called Power To Change in Canada. You cannot turn in US checks made out to “Cru” or “AIA”.
Since everything is processed through our Vancouver office, all amounts will show up in Canadian Dollars. So if you sent in a US check for $100, you will see a slightly different amount listed for that donor, depending on the exchange rate when our office received it. You’ll be able to know if we received all your donations by simply looking at the donor names listed on the PAT and comparing that with your records
American Online
For any US donors that want to give through your online donation page, please direct them to click the small US flag at the top left corner of your page. All donations for soccer tours are processed through the Canadian office, and we want to make sure our finance department issues the tax receipt for the correct country.
They should be aware that if they give $50 online, they are giving $50 Canadian, so the amount they see will be different because of the exchange rate used at the time of their donation.
When your donors give online with a US credit card, please make sure they understand that their donation will be processed by our Canadian office, and will thus be a foreign transaction on their credit card. Many credit cards will charge an additional fee (often a percentage of the total amount charged) for any foreign transactions. This fee is not from AIA, but is from the credit card companies. Your donors may want to check with their credit card companies before giving online to ensure they are aware of any potential charges.
International support has two scenarios
- If the donor can benefit from a tax receipt, the donations must be processed through their local national Power to Change/CRU office where it will go through international channels. You must obtain a specific code referencing your trip before any support is sent this way. Please contact projects@p2c.com to obtain this code.
- If the donor will not benefit from a tax receipt, then the donations should be sent to you. The donor can send a bank transfer or an international money order in US or Canadian funds. They should not send you a personal cheque from their local bank in their local currency as you will be unable to cash such a cheque here in Canada. You should record their information on a Record of Funds form and treat it a cash donation. (see above how to handle cash donations).
As per the Power to Change Privacy Policy, please keep in mind that donor contact info cannot be used for solicitation in any other organization – school, community groups etc.
